Reminders and no-shows
What this is for
Reminders run on their own. The front desk never sends one by hand. The only thing a human does is mark "showed" or "no-show" after the appointment.
First: get and register your number
- Buy the number inside GoHighLevel. Pick your local area code.
- Register it. This is called A2P registration. Without it, carriers block your texts. It takes days, so start it today, before anything else in this SOP.
- What they ask for: your business name, EIN, website, and a sample message. Use the confirmation text below as the sample.
The messages
Confirmation (the moment they book), text and email:
You're booked. [Couples heart scan] for two at [Clinic], [Day, date] at [time]. Address: [address]. Bring a photo ID. Your $[25] deposit is credited toward your visit. Reply C to confirm.
Day before, 6 PM:
Reminder: your [couples heart scan] at [Clinic] is tomorrow at [time]. [Address]. Reply C to confirm.
Day of, 8 AM:
Today's the day. [Clinic], [time]. [Address]. See you soon.
No-show (front desk marks the appointment "no-show"):
We missed you today, [First name]. Your deposit is still good for 30 days. Rebook here: [Booking link]
Your deposit rule
Decide it now and put it in the no-show message. Most clinics: credited if they rebook within 30 days. Whatever you choose, the front desk needs to say the same thing every time.
Done when
The number shows as registered, a test booking gets the confirmation text and email, and both reminders are in the workflow. Exact clicks are in the module 4 videos.
